Working Together

Hours of Operation
We understand the beauty of working remotely, but are aware of its very specific challenges. To ensure that we are always responsive to your needs, we operate on UTC -4.

Official business hours and when we reply to client emails and tasks are Monday through Thursday 10 AM – 3 PM UTC -5. All emails will be returned within 24-48 hours during the business days of Monday through Thursday.

That means we will: 
  • Respond to e-mail messages promptly
  • Follow-up with clients to ask for feedback
  • Make recommendations and offer solutions
  • Go the extra mile to make clients happy

Meetings
Tuesdays & Thursdays from 12-3 are prioritized for all meetings.

We understand that some meetings will need to be rescheduled.
​Wednesdays from 12-3 are available upon a case-by-case basis.
Rush Jobs
We understand that things pop up and you will need help immediately. 
For rush jobs, you will be charged a $100 surcharge for less than 24 hours’ notice; $145 surcharge for evenings, weekends, or U.S. holidays.

Holidays
We take off all US national public holidays and will remind you of any upcoming holidays at the beginning of each quarter.

Vacations
We are closed for 1 week/quarter. 
​This time frame will be communicated at the beginning of each quarter. 
Referrals
Referrals are our favorite way to gain new clients!

As a special thank-you for telling other business owners about us, you’ll receive a special gift after the signing of their contract and the payment of their first invoice!
Confidentiality
We adhere to a strict confidentiality code and no information will be divulged to a third party. All documentation sent to us will be returned upon completion + payment. We take your confidentiality very seriously.

Should the business tasks be allocated to someone internally (i.e. We bring on a new team member to support us.), it is acknowledged that the Client should be introduced to the new team member and approve the change before further work commences
Passwords
To safely exchange passwords, we use Lastpass.
​We ask that clients set up an account so that they can securely share their passwords.
​If an alternative is preferred, please let us know. 
Payment
All payments on service hours are paid upfront. Retainer clients are automatically invoiced due on the 30th of the month for the retainer amount purchased in the prior month, unless we notify you otherwise.
​

Invoicing
Invoices are sent electronically on the 30th of the month. All services are prepaid and work will commence once payment is received.

Refunds
When investing in a retainer, we commit to having enough time available to serve you. Our commitment to you affects how many other clients we can take on. For that reason, we do not offer refunds on unused services or allow unused services to roll over to the next month.

The Perks

All packages commence with a Kick-off Strategy Call!
This one-time, 90-min strategic planning session with me and your dedicated project manager is mandatory for all packages to kick off our working relationship.

This is your opportunity to lay it all on the table and let us know exactly which areas of your business you want to improve, how you think your team & projects can be better managed, and what systems you want to put into place to make your business run smoothly.
​It’s our opportunity to evaluate your needs, your team & projects, and your overall business structure. 


We want to identify what we can take off your plate and how to do so in a simple and effective manner.

All packages are a minimum 3-month commitment!
When we sign on, we are serious about working with you. We ask that you sign on for a minimum of 3 months. However, if you feel like we may not be the right fit for your team and business, you can cancel your agreement at any time within the first month of the retainer package. 

After that, the policy is 30 days notification of cancellation of services.
Packages are based on a combination of OBM skills & experience including the following: 
•   Project & Team Management 
•   Systems Building
•   SOP Integration
•   Creating Business Playbooks
•   Monitoring Metrics & Analysis
•   Recruiting & Vetting Employees/Contractors
•   Revenue Generating Activities: Strategizing & Monitoring

•   Strategy sessions and ongoing meetings (We recommend at least one monthly call) on areas such as the following:
